NCA 2011 BBQ July 30,2011

BBQ Chairman:???

Hello NCA members,The annual Nutrioso BBQ is fast approaching and planning is now underway! In the past few years,it is increasingly difficult to find a volunteer to serve as BBQ Chairman,to oversee and coordinate all the various tasks involved in putting on an event of this magnitude. Last year,after several requests for a volunteer or volunteers brought no response,two of the NCA board members took on the task. By that time,the BBQ planning had fallen behind and there was a lot of catching up to do. This made the job all the more difficult.

This year it was decided to delegate this task to a BBQ Committee. We have broken down the BBQ down into areas of responsibility. Each area of responsibility will have a supervisor who will manage the duties required for that area. These area supervisors will form the BBQ Committee. A BBQ Chairman will still be necessary to oversee and coordinate with the Committee;call BBQ meetings,when necessary;make reports at the NCA Board meetings,etc. Please review the attached list and consider volunteering for the BBQ Committee.

BBQ COMMITTEE The areas of responsibility/departments and their supervisors are below.  We need supervisors for those in red.  Please contact Billie Hughes (billie@nutrioso.org) if you can help!!!!

INVENTORY &PURCHASING Supervisor:Lynn Clemmens

Supervisor is responsible for conducting an inventory of current BBQ supplies and the purchase of food &supplies needed.

ADVERTISING &TICKET SALES Supervisor:???

Supervisor is responsible for printing of raffle tickets and fliers/posters;placing notices in local newspapers and billboards;posting fliers and posters;and scheduling of venues and volunteers to sell raffle tickets prior to the BBQ.

DONATIONS Supervisor:Sherry &Dave French, Tammi anders

 

Supervisor is responsible for securing donations for large &small raffle prizes and silent auction via mail,internet,phone and personal contact.

MUSIC &ENTERTAINMENT Supervisor:???

Supervisor is responsible for scheduling the music performers and any other entertainment at the BBQ;securing signatures on contracts;and arranging for payment after the performance.

SET-UP Supervisor:???

Supervisor is responsible for preparing the community center and property on the day of the BBQ,including (but not limited to) setting up booths,tents,tables,chairs;stringing lights;hanging banners &signs;installing lights in j-johns;arranging hay bales around bandstand;hanging insect traps;installing screens windows;positioning fans in dining room;loading coolers with soda and ice;stocking extra supplies in bathrooms;and providing general assistance to the other service areas of the BBQ.

FOOD PREPARATION Supervisor:Lynette &Greg Cross

Supervisor is responsible for overseeing the preparation of all food (&service items) for the BBQ. Assistants may be appointed to supervise some or all of the following areas of food preparation:

  • MEAT –Brad Jensen
  • BEANS –
  • COLESLAW –
  • SOPAPILLA DOUGH MAKERS –
  • SOPAPILLA COOKERS –
  • SILVERWARE (rolling) –

TENTS &BOOTHS Supervisor:???

Supervisor is responsible for overseeing the set-up and management of booths at the BBQ. Assistants may be appointed to supervise some or all of the booths.

 FOOD SERVICE &DINING ROOM Supervisor:???

Supervisor is responsible for instructing and supervising serving staff;replenishing supplies of food to the serving line and complimentary beverages in the dining room as needed;ensuring that tables are cleaned of trash and trashcans are emptied promptly. Assistants may be appointed to supervise different areas or shifts during the time of food service.

MEAT SALES Supervisor: Russ Winn and Billie Hughes

Supervisor is responsible for weighing and packaging surplus beef &chicken for sale;and for collecting money from these sales.

CLEAN-UP Supervisor:???

Supervisor is responsible for coordinating and overseeing the clean-up efforts after the BBQ. Clean-up to be completed within the week following the BBQ.

Additional Notes: Area supervisors may appoint an assistant or assistants as needed to fulfill the duties of their position. Each Area Supervisor is required to be in contact with the BBQ Chairman to report progress and discuss special needs and/or problems.
